weekend responsibilities

Ceremony Rehearsal Coordination 
  • Up to 2 hours
Attend Any Week-Of Installations
  • Tenting, Floral Installations, Restrooms, Flooring, Lighting, Draping.
Bridal Concierge 
  • Attends any last minute steaming needs, acts as liason between bridal party and lead planner 
Manage Vendor Load In for wedding day
Set Up of All Wedding Decor Items at Ceremony and Reception 
Transportation
  • Contact all transportation driver's the morning of the event
  • Track and manage transportation throughout the event 
Ceremony Execution 
  • Cue Musicians, Cue wedding party, officiant, bride and groom. 
  • Ensure all AV is working properly prior to ceremony and throughout service.
Styling 
  • Style stationery, decor and reception space for photographer
Distribute Final Vendor Gratuities 
  • Must be in a sealed envelope, vendor signs upon receival.
Pack All Decor Items, Gifts and Cards at the End of the Night
Ensure Venue load-out is smooth and up to the standards of the venue for end of night check out.
Ensure rental counts are accurate and sufficient for the event. 
Act as the vendor liaison for the couple/family between all vendors throughout the wedding weekend.
Emergency Kit with supplies ($350 value) for any wedding needs.

Execute Day-of Styling, Flat Lay Styling (photos of invitations, shoes, heirlooms all need to be properly styled for the photographer.) 

All Vendors
Create spreadsheet comparing availability, pricing, packages for all vendor categories 
Recommend Vendors based on design, budget and overall reputation and performance
Organize initial vendor calls/consultations on couple’s behalf 
Share design/inspiration with vendors before design calls so that 
Review vendor proposals with couple, compare to other vendors
Review contracts to make sure they are up to LE Standards of Practice
Confirm all vendors are insured and reputable companies 
Help determine terms of contracts based on wedding details 

Invitations

Schedule Trials on behalf of the bride 
Work directly with Hair and Makeup Artists to determine a day-of schedule 
Check in with Hair and Makeup Artists on the day-of, make sure we stay on schedule 
Facilitate final payments & tip disbursement 




Rentals & Decor
Acquire which rentals (tabletop, architectural, linens, etc) we will choose for the wedding 
Order correct amount of rentals for wedding 
Adjust order amount based on final RSVP number 
 Make sure rentals arrive in tact, send for any replacements day-of.
Steam any linens that are in need of a touch-up (time permitting) 
Set mock placement for catering and event staff to model the remaining place settings after 
Ensure all rentals are packed up at the end of the night 
For rented linens from a non-local company, ensure they are packed and shipped back in a timeline manner 
Place all decor provided by couple for wedding 
Pack all decor provided by couple and place in safe location for pickup or in a locked vehicle 

Entertainment 
Acquire Availability of DJ/Band/Musicians
Acquire Initial Proposals & Pricing to help determine if they will fit within budget
Arrange the correct stage rentals for bands, chairs amounts for musicians and table/space on layout for DJ 
Collect meal counts and dietary restrictions and provide information to catering for vendor meals 
Make sure noise ordinances are followed for the county/city that the event is taking place 

Florals 
Acquire Availability, Initial Proposals & Pricing to help determine if they will fit within budget
Work with Florists to create interesting ideas and designs
Help ensure we stay within budget by cutting unnecessary items 
Day-Of ensure florists places florals correctly
Repurpose any items designated to be repurposed (EX. Ceremony Aisle Markers to be moved in front of band stage.)
Pin Boutonnieres on gentleman 
Ensure any corsages/personals get to their correct family member
Dry bouquets for bridesmaids and bride before photos (so the wet stems don’t stain the gowns before photos.)

Venue
Ensure Couple gets venue-required event insurance 
Attend Venue Walk-through typically 30 days out from weddings 
Day-Of make sure all staff adheres to venue rules and regulations 
Breakdown and make sure venue is left as we found it
Ensure all vendors have venue-required insurance 

Photography
Acquire Availability of Photographers that are within our wedding aesthetic - (helping with the search would be most useful!)
Acquire Initial Proposals & Pricing to help determine if they will fit within budget 
Determine how many hours are needed for photography 
Work directly with photographer on timeline to ensure all moments are captured and the day flows in a timely manner
Create Shot list with the bride to give to the photographer so we know what family photos are needed and what moments during the day are most important to be captured (ex. Grandma + MOB + Bride, or “photo of great-grandmothers pearl necklace”) 
Assist in day-of family photographs making sure correct family members are called for photos 
Collect and dietary restrictions and provide information to catering for vendor meals 


Videography
Acquire Availability, Proposals & Pricing of Videographers that are within our wedding aesthetic
Determine how many hours are needed for videography 
Work directly with videographer on timeline to ensure all moments are captured and the day flows in a timely manner (And that Photographer and videographer aren’t fighting over the same time!) 
Collect and dietary restrictions and provide information to catering for vendor meals 


Officiant
Acquire Availability of Officiants
Ensure Timeline is provided to officiant 
Confirm officiant will be attending rehearsal 
Day-Of, Ensure Officiant’s Arrival, signing of marriage license and ensuring the show copy is returned to the couple

Hotels
Reach out to each hotel individually and work directly with their sales team to guarantee the best rates for guests
Transportation
Acquire Availability & Pricing of transportation
Determine how many vehicles will be needed for wedding guest transportation, wedding party transportation, getaway car transportation
Provide timeline to transportation companies
Provide a 'transportation only' timeline to couple & family members so transportation is clear
Week-of Wedding, collect drivers names & numbers
Day-of Wedding; Call Drivers 30 minutes before pickup to make sure the vehicles are staged & track transportation throughout event
Facilitate early bus departure, final bus departure and getaway car departure
Bring Couple’s belongings/bags to getaway car

Rehearsal
Run rehearsal day before wedding (Standing placement, who is holding bouquet during ceremony, who is walking bride down, etc.)
